Why does my printer say “paper out” when the labels are loaded?
Scheduled visits to check, clean and adjust your printers and spot worn parts before they fail.
In brief. When a printer reports paper out (Media Out on Zebra, error 1008 Out of Paper on Sato, NO PAPER on Toshiba) while a roll is in place, its sensor cannot see the media. Manufacturers' documentation first cites media loaded incorrectly, a sensor that is in the wrong position or dirty, then a printer set or calibrated for another type of media. Reload the roll, put the sensor back opposite the gap or black mark, then calibrate.

Why does a printer report paper out with a roll loaded? The causes cited by manufacturers
These causes come from the manufacturers' guides, from the most often cited to the rarest; each example names the model concerned, whose entry in the by-model table below gives the exact procedure.
- Media loaded incorrectly or jammedThe media must pass through the sensor and under the printhead. Zebra cites media loaded incorrectly for
Media Out(ZT410), Sato media loaded incorrectly or jammed for error 1008 (CL4NX), Honeywell media jammed or loaded incorrectly when the Media icon is red (PM43). Toshiba adds media that is not taut and has slack (B-EX6). - Sensor in the wrong positionA sensor that is out of position cannot find the top of the labels: according to Zebra, this causes a media-out error even though media is loaded (ZT421). Toshiba asks for the sensor to be placed over the gap or black mark (B-EX4T1), Brother for the sensor to be aligned with the gap or mark on the roll (TJ-4420TN).
- Dirty sensorPaper dust, adhesive or a stuck label prevent detection. Honeywell cites paper dust on the sensor of an RP2 that thinks it is out of paper, Sato a sensor that is dirty or covered by a label (FX3-LX), Zebra a dirty sensor among the causes of
Media Out(ZD410, ZQ630). - Printer set for another type of mediaZebra cites a printer set for gap or black mark labels while continuous media is loaded (ZT231, ZD421). According to the Intermec guide for the Honeywell PF4i, the printer only reports the end of the media correctly if the right media type is selected.
- Sensor not calibrated for the mediaThe sensor level must be set for the media in use: Sato cites this for error 1008 (PW208NX), Toshiba for
NO PAPER(B-EX6), Brother forOut of Paper(TD-4). For the ZT410, the Zebra knowledge base adds a printer not calibrated for the loaded media. - Label missing from the rollSome manufacturers remove a label to mark the end of the roll, and the printer then detects the end of the media: Zebra cites this for the ZD411 and ZQ630. On the GoDEX HD830i and ZX1000i, an empty space on the roll triggers
MEDIA ERROR.
What to check, in order
- Look at what is left on the rollEmpty roll: replace it, leaving the printer switched on if a job is in progress, because Zebra warns that it would be lost (GK420, ZD420). If a label is missing in the middle of the roll, pull the media through to the next label, close the printer and press FEED (ZD420, ZD620).
- Reload the media and close the coverThe media must pass under the guides and through the sensor, then the cover or the printhead must be latched until it clicks: on the Zebra GK420 or ZQ510, the same indication signals media out and an open cover. Toshiba also asks you to take up the slack in the media.
- Position the sensor opposite the gap or markThe sensor must see the gap, notch or black mark. With continuous media, Zebra asks you to return the movable sensor to the centre position (ZD421, ZD621); on the ZT411 and ZT421, the sensor's green light must shine through a gap, notch or hole.
- Set the media type, then calibrateSpecify the type actually loaded (gap, black mark or continuous), then run the calibration: SmartCal on the Zebra ZD411 or ZD620, [Auto-calibration] on the Sato CL4NX or PW208NX, threshold adjustment on the Toshiba B-EX4T1 and B-EX6. Zebra and Brother ask for recalibration after a media change (ZD420, TJ-4420TN).
- Clean the sensorCanned air or a dry cotton swab, then a swab moistened with alcohol if adhesive remains (Zebra ZD410); compressed air on the Honeywell RP2; cleaning kit for Sato. Recalibrate after cleaning.
- Call in a technician if the error persistsZebra has you reload the firmware when the media is still not detected, then refers you to a technician (ZD410, ZD420, ZD621). Toshiba asks you to call an authorised technician if adjusting the threshold is not enough, Sato to contact its technical support.
Caution: Let the printhead cool before reloading: Zebra and Toshiba warn that it may be hot. Do not touch the cutter blade or the tear bar, which are very sharp (Zebra, Honeywell), and keep your fingers out of the print mechanism when the printer is powered on (Honeywell). Before cleaning a sensor, switch off the printer and unplug it or remove its battery (Sato); to remove dust, Zebra forbids the use of an air compressor.

Check that the media passes through the paper sensor, close the printhead, then calibrate the sensor. |
Frequently asked questions
What does “Media Out” mean on a Zebra printer?
The printer does not detect any media in the paper path. If the roll is not empty, Zebra cites media loaded incorrectly, a sensor that is misaligned or dirty, a printer set for labels while continuous media is loaded, or a missing label that marks the end of the roll. Reload, reposition the sensor, then calibrate.
Why does a missing label stop my printer?
Some manufacturers remove a label to mark the end of the roll, and the printer treats it as the end of the media. On Zebra ZD printers, pull the media through to the next label, close the printer and press FEED or PAUSE depending on the model. Zebra advises against using the remaining labels on a roll with a missing label: they can leave adhesive behind. On GoDEX printers, a setting sent by command lets the printer skip up to 10 missing labels.
What does error 1008 mean on a Sato printer?
It is the paper-out message (Out of Paper): the printer does not detect the media. On the CL4NX, CT4-LX and FX3-LX, Sato cites five causes: no media, media loaded incorrectly, sensor level set incorrectly, a jam, or a sensor that is dirty, covered by a label or has low sensitivity. Reload the roll, then calibrate and clean the sensor if the error comes back.
