Why is my printer ribbon wrinkling or breaking?
Scheduled visits to check, clean and adjust your printers and spot worn parts before they fail.
In brief. A wrinkled ribbon leaves defects on the labels: Zebra describes fine grey diagonal lines and long streaks with no printing. The most frequently cited cause is a ribbon loaded or tensioned incorrectly; next come incorrectly set printhead pressure or ribbon tension, darkness set too high and media that drifts. Toshiba adds a ribbon width mismatched with the media, too narrow as well as too wide, and Honeywell explains a ribbon breaking, on the PD45S, by an unsuitable media setting or a ribbon not properly in place. Reload the ribbon and pull it taut, then set darkness and pressure to the minimum that gives good print quality.

Why does a printer ribbon wrinkle? The causes cited by manufacturers
These causes are taken from the manufacturers' guides and ranked from most to least often cited; each example names the model concerned, whose entry in the model-by-model table below gives the exact procedure.
- Ribbon loaded or tensioned incorrectlyThis is the most frequently cited cause: Zebra lists it first for its ZT models (ZT230, ZT411, ZT510), Toshiba says to remove all slack when loading (B-852, B-EX4T1, B-EX6), and Sato and GoDEX to tension the ribbon with the knob (WS4, GE300). According to Honeywell, a poorly adjusted ribbon can also break on the PD45S.
- Printhead pressure or ribbon tension set incorrectlyZebra cites incorrect or uneven printhead pressure (ZT410, ZT421, ZT231); on the ZT610 and ZT620, the direction of the wrinkles shows which pressure toggle to adjust. Intermec blames excessive pressure and a misaligned ribbon brake shaft on the PF4i; GoDEX (EZ6250i, ZX400) and Brother (TJ-4420TN) correct wrinkles through the ribbon tension and the printhead balance.
- Darkness set too highZebra cites an incorrect burn temperature and asks you to set the darkness to the lowest level that gives good quality (ZT410, ZT421, ZT510), and also to lower the speed if needed on the ZT421 and ZT231. Honeywell has you lower
Darknesson the PD45S, Brother correct the print density on the TJ-4420TN. - Media drifting sidewaysAccording to Zebra, media that does not feed straight and moves from side to side wrinkles the ribbon (ZT410, ZT510, GK420t, GX420t): the media guide must hold it without play. Intermec (PF4i), Honeywell (PD45S) and Brother (TJ-4420TN) also have you adjust the edge guide or the label guide.
- Damaged core or mismatched ribbon widthZebra warns that cores with rounded, frayed or crushed notches make the ribbon slip and wrinkle (GK420t, ZD500R), as does an empty core of a different diameter on the ZD421t. Toshiba requires a ribbon wider than the media, by at least 10 mm on the B-852 and at least 5 mm on the B-EX4T1, but without an excessive difference, which also causes wrinkles.
- Printhead or platen roller installed incorrectlyZebra cites an incorrectly installed printhead or platen roller on the ZT410, ZT231 and ZT510, the printhead or the platen (drive) roller on the ZT610 and ZT620, and a printhead not properly latched on the GK420t and GX420t. On ZT models, this check is a job for a technician when you cannot do it yourself.
What to check, in order
- Reload the ribbon and remove the slackFollow your model's loading procedure, with the ribbon centred and taut. Zebra then has you feed some media with FEED to remove slack and wrinkles: at least 10 cm on the GK420t, GX420t and ZD500R, at least 20 cm on the ZD411t and ZD421t.
- Check the coresAccording to Zebra, they must have square, intact notches and the same inner diameter as the ribbon roll; never use old cores notched on one side only. GoDEX has you check on the GE300 that each core is engaged, with its notch aligned with the tab.
- Adjust the media guideIt must hold the media without play (Zebra ZT410, ZT510); Brother sets it to the width of the labels (TJ-4420TN).
- Lower the darknessSet it to the lowest level that gives good print quality, and reduce the speed if necessary, as Zebra requires for the ZT411, ZT421, ZT231 and ZT610.
- Adjust the printhead pressure and the ribbon tensionPressure at the minimum that gives good quality, balanced across the width of the media. On the ZT610 and ZT620, Zebra has you increase the pressure on one toggle or reduce it on the other, depending on the diagonal of the wrinkles. GoDEX has you turn the ribbon deflector screw half a turn at a time (EZ6250i, ZX400), Brother the ribbon tension screw one notch at a time (TJ-4420TN), with a test print after each adjustment.
- Call in a technician if the wrinkles persistZebra refers you to a technician if the media keeps drifting or if the printhead or platen roller seem incorrectly installed (ZT410, ZT420, ZT510). Brother asks you to contact its customer service after the tension adjustments and a test with other media; on the ZC100 and ZC300 card printers, Zebra refers you directly to its technical support.
Caution: According to Zebra (ZT411, ZT421), the printhead can be hot enough to cause severe burns: let it cool before touching it. Toshiba says to disconnect the mains power before working on the ribbon, and GoDEX never to adjust the printer while it is switched on. On GoDEX ribbon deflector screws, do not go beyond two turns: beyond that, the paper may no longer feed correctly.
What the documentation recommends, model by model
For 27 models, the manufacturer's documentation describes this symptom. Each row links to the detailed entry in the guide, with the full procedure and its sources.
| Model | Guide entry | Short answer |
|---|---|---|
| Zebra ZT230 | Why is the ribbon wrinkling on my Zebra ZT230? | According to the Zebra guide, there are three causes: incorrectly loaded ribbon, incorrect burn temperature (darkness), or incorrect or uneven printhead pressure. Reload the ribbon, set the darkness to the lowest level that gives good quality, and set the printhead pressure to the minimum needed. |
| Honeywell PF4i | Why does the ribbon on my Honeywell PF4i wrinkle? | According to the Intermec guide, the front ribbon break shaft may be misaligned, the edge guide incorrectly set or the printhead pressure too high. Before adjusting the break shaft, rule out the other causes. |
| Zebra ZT410 | Why is the ribbon on my Zebra ZT410 wrinkling? | According to Zebra, the ribbon is incorrectly loaded, the darkness is too high, the printhead pressure is set incorrectly or the media is moving sideways. Reload the ribbon, lower the darkness, balance the pressure of the two dials and adjust the media guide. |
| Toshiba B-852 | Why does the ribbon on my Toshiba B-852 wrinkle? | Toshiba cites two causes: slack left in the ribbon when loading, and a ribbon width poorly matched to the media. Take up any slack by turning the green hub of the take-up core, and use a ribbon at least 10 mm wider than the media, without an excessive difference. |
| Zebra ZT421 | Why is the ribbon on my Zebra ZT421 wrinkling? | Zebra cites incorrectly loaded ribbon, an unsuitable burn temperature and incorrect or uneven printhead pressure. Reload the ribbon, adjust the darkness and speed, then set the pressure to the minimum that gives good quality. |
| Zebra ZT420 | Why is the ribbon on my Zebra ZT420 wrinkling? | According to Zebra, the ribbon is incorrectly loaded, the darkness is too high, the printhead pressure is set incorrectly or the media is moving sideways. Reload the ribbon, lower the darkness, balance the pressure of the two dials and adjust the media guide. |
| Zebra ZT411 | Why is the ribbon on my Zebra ZT411 wrinkling? | Zebra cites incorrectly loaded ribbon, an unsuitable burn temperature and incorrect or uneven printhead pressure. Reload the ribbon, adjust the darkness and speed, then set the pressure to the minimum that gives good quality. |
| Toshiba B-EX4T1 | Why is the ribbon on my Toshiba B-EX4T1 wrinkling? | Toshiba cites slack left in the ribbon and a ribbon width poorly matched to the media. Take up all slack when loading, and use a ribbon at least 5 mm wider than the media, without an excessive difference. |
| Zebra GK420 | Why is the ribbon wrinkling on my Zebra GK420t? | Zebra cites a ribbon that is not taut enough, cores with damaged notches, media drifting sideways or a printhead that is not properly latched. After each loading, feed at least 10 cm of media with FEED to remove slack and creases. |
| Zebra ZD421 | Why does the ribbon on my Zebra ZD421t wrinkle during printing? | According to Zebra, a take-up core that does not match the inner diameter of the ribbon roll, or whose notches are damaged, makes the ribbon slip and causes wrinkles. Use an empty core of the same diameter, with intact notches, then feed at least 20 cm of media with FEED to tension the ribbon. |
| Zebra GX420 | Why is the ribbon creasing on my Zebra GX420t? | Zebra cites a core that is not properly locked and slips, media drifting sideways or a printhead that is not properly latched. Check the core notches, adjust the guides and, after each loading, feed at least 10 cm of media with FEED. |
| Zebra ZC100 and ZC300 | Why do colour streaks or a halo appear on the cards from my Zebra ZC300? | A colour streak not present in the original image, often linked to the edges of the card or to dark images, corresponds according to Zebra to ribbon wrinkling. A coloured halo or a blurred image comes from poor alignment of the Y, M, C or K panels. In both cases, the guide refers you to Zebra technical support. |
| Zebra ZD411 | How do I install the ribbon on my Zebra ZD411t to avoid wrinkles and switch to thermal transfer? | Place an empty core on the take-up spindle and the new ribbon on the lower spindle, notches on the left, attach the leader to the core and then tension the ribbon. After closing, feed at least 20 cm of media with FEED to remove the wrinkles, then set the print mode to thermal transfer. |
| Zebra ZD500R | How do I install thermal transfer ribbon in a Zebra ZD500R? | Place the new ribbon on the lower supply spindles and an empty core on the take-up spindles, stick the leader to this core, tighten the ribbon with the left-hand knob, close the cover and press FEED. Then switch the printer to thermal transfer. |
| Zebra ZT231 | Why is the ribbon wrinkling on my Zebra ZT231? | Zebra links ribbon wrinkling to three settings: ribbon loading, burn temperature (darkness and speed) and printhead pressure. Reload the ribbon, reduce the darkness or speed, and bring the pressure down to the minimum needed. |
| Zebra ZT510 | Why is the ribbon on my Zebra ZT510 wrinkling? | According to Zebra, ribbon wrinkling comes from incorrect loading, an unsuitable burn temperature, unevenly distributed printhead pressure or media that moves sideways. Reload the ribbon, lower the darkness to the minimum needed and balance the pressure of the two levers. |
| Zebra ZT610 and ZT620 | How do I stop the ribbon on my Zebra ZT610 or ZT620 from wrinkling? | On the ZT600 Series, Zebra links the direction of the wrinkles to the setting of the printhead pressure toggles: depending on the diagonal, increase the pressure on one side or reduce it on the other; if the wrinkles are in the middle, move both toggles closer to the centre of the label. If that is not enough, reload the ribbon and reduce the darkness. |
| Honeywell PC42 | How do I install the ribbon on a Honeywell PC42t? | The PC42t only accepts “ink out” ribbons, matt inked side facing outwards. Place the new roll at the back and the empty core at the front on their adapters, pass the ribbon under the mechanism and over the printhead, attach it to the core, then tension it with the knob. |
| Honeywell PC43 | How do I install the ribbon on a Honeywell PC43t? | The PC43t works only with “ink out” ribbon. Place the new roll between the rear holders and the take-up core between the front holders, attach the end of the ribbon to the core, tighten it with the knob, then set the print method to Ribbon (TTR). |
| Honeywell PD45S | Why does the ribbon on my Honeywell PD45S wrinkle or break? | For Honeywell, a ribbon that breaks is caused by an unsuitable media setting or a ribbon that is incorrectly fitted. A ribbon that wrinkles is corrected by lowering Darkness, then adjusting the guides, the printhead pressure and toggles, and finally the ribbon tension bar. |
| Honeywell PM23c | How do I load the ribbon in my Honeywell PM23c so that it stays taut and free of wrinkles? | Slide the roll onto the supply hub and an empty core onto the take-up hub, wind according to the ink side, pass the ribbon through the mechanism, then turn the take-up hub until the ribbon is taut and free of wrinkles. To find out the ink side, scratch the ribbon with a pen on a sheet of paper: a mark indicates a ribbon with the ink on the outside. |
| Toshiba B-EX6 | How do I stop the ribbon wrinkling on my Toshiba B-EX6? | Toshiba asks you to remove all slack from the ribbon before printing, because a wrinkled ribbon degrades the print. Also check that the ribbon is centred by its stoppers, fitted with their clips facing the inside of the printer. |
| Sato WS4 | Why is the ribbon on my Sato WS4 wrinkling? | First check that the ribbon is loaded correctly, then turn the take-up knob to tension it. If the wrinkle has already marked some labels, print a few until the wrinkled part has passed. |
| Godex EZ6250i and EZ6350i | How do I prevent ribbon wrinkling on a Godex EZ6250i? | First increase the tension of the ribbon take-up spindle. If the wrinkles persist, adjust screws A and B of the ribbon deflector by half-turns, then the printhead balance and pressure. |
| Godex EZ6250i and EZ6350i | How do I adjust the printhead pressure and balance on a Godex EZ6250i? | Open the side cover, raise the printhead, then move the printhead spring boxes apart according to the width of the media. Turn the adjustment screw clockwise to increase the pressure, and the other way to reduce it. |
| Godex GE300 | How do I avoid ribbon wrinkling on a Godex GE300? | The GoDEX manual says to check, before printing, that the ribbon has no wrinkles, turning the rewind knob to tension it. A wrinkled ribbon is one of the causes of unprinted areas. |
| Godex ZX400 | The ribbon on my Godex ZX430i is wrinkling: how do I adjust it? | Increase the tension on the take-up spindle, then adjust the ribbon deflector screw half a turn at a time, printing a test after each adjustment. If the wrinkles persist, adjust the printhead balance. |
| Godex ZX400 | How do I adjust the printhead pressure on a Godex ZX420? | Move the printhead spring housings apart according to the label width, then adjust the screw: to the left to increase the pressure, to the right to reduce it, without going past mark B. |
| Brother TJ-4420TN | Why are my labels wrinkled (ribbon creasing) on my Brother TJ-4420TN? | Brother cites incorrectly loaded ribbon or media, unsuitable darkness, an incorrectly adjusted label guide and incorrect head or ribbon tension. Reload the ribbon and the media, then adjust the ribbon tension screw one notch at a time, reprinting after each adjustment. |
Frequently asked questions
How can I tell from my labels that the ribbon is wrinkled?
According to Zebra, a wrinkled ribbon leaves fine grey diagonal lines on blank labels and can cause long streaks with no printing. Sato describes broken lines on the WS4, GoDEX unprinted areas on the GE300. On the WS4, Sato advises printing a few labels until the wrinkled section has passed, or reloading the ribbon.
What ribbon width should I use to avoid wrinkles?
A ribbon wider than the media, but not excessively so. Toshiba requires at least 10 mm more than the media on the B-852 and at least 5 mm on the B-EX4T1, and specifies that too large a difference also causes wrinkles. Zebra recommends a ribbon wider than the media to protect the printhead from wear.
Why does my printer ribbon break?
Honeywell explains it for the PD45S: the media setting does not match the loaded media, or the ribbon is poorly adjusted. First check this setting, then reload the ribbon correctly following the procedure in the guide.
